Refund Policy
How course fees, cancellations and refund requests are handled.

1. Purpose of this policy
This policy explains the Academy's general approach to fees, cancellations and refunds for paid services. A program-specific enrolment agreement, written offer or invoice may contain additional terms. Nothing in this policy limits a refund, cancellation or other right that applicable law requires.
2. Assessment and trial sessions
An assessment, free trial invitation or initial conversation is not, by itself, confirmed enrolment. After an entitled trial class has been provided or attended, and after a paid enrolment or instructional service has begun, fees are generally non-refundable and non-transferable except where applicable law or an express written Academy commitment provides otherwise.
2A. Digital memberships and AI speaking credits
Digital membership access begins when the applicable account access is activated. Used AI speaking credits represent consumed digital service and are generally not refundable merely because a learner is dissatisfied with an AI-generated practice estimate or chooses not to continue. Unused monthly credits expire at the end of the applicable billing period unless written terms state otherwise. Where a verified Academy-side technical failure prevents meaningful use of a charged AI task, the Academy may restore the affected credit or provide another reasonable remedy. Mandatory consumer rights continue to apply.
3. Student cancellations and absences
Change of mind, personal schedule changes, missed classes, failure to attend, incomplete participation, an unsuccessful exam outcome, or an immigration, admission, employment or other third-party decision do not create a refund entitlement. Where possible, the Academy may offer a reasonable alternative session, credit or administrative solution, but this is not guaranteed and does not replace a written refund commitment.
4. Academy cancellation or material service change
If Duxville Academy cancels a paid service before it begins and cannot offer a reasonable alternative, we will explain the available resolution, including a refund where required by law or promised in writing. If a material change is necessary after a program begins, we will communicate the change and work toward a reasonable educational solution.
5. Third-party charges and goodwill exceptions
Third-party charges paid directly to an examination provider, payment processor, platform, travel provider or other provider are governed by that provider's policies. A goodwill credit or refund made in a particular situation is a one-time decision and does not establish a precedent for another request.
6. How to make a request
Send requests in writing through our Contact page. Include your full name, program, payment date, relevant documents and the reason for the request. Do not send banking passwords, payment-card numbers or other sensitive financial information through the public form. We may request further information to verify the record and respond.
7. Your statutory rights
This policy is intended to be transparent, but it is not a waiver of any mandatory consumer-protection right. Where applicable law gives you a cancellation, refund or remedy, that law applies.
